Overview
ContactMonkey is the leader in internal email software. Our intuitive email builder and powerful analytics make it easy for internal communicators to engage with their workforce directly through their Outlook or Gmail.
This guide outlines our recommended method for facilitating email campaigns being sent directly from within the ContactMonkey dashboard. The process to enable ContactMonkey Dashboard Sending has two steps:
- Syncing your distribution lists via your HRIS to ContactMonkey
- Integrating ContactMonkey’s Email at Scale feature to enable fast email delivery and the ability to send to larger distribution lists of contacts.
Continue reading below to learn more about what Dashboard Sending is in ContactMonkey, as well as more detailed instructions on how to integrate your HRIS with ContactMonkey, and integrate with ContactMonkey’s Email at Scale solution.
What Is ContactMonkey Dashboard Sending?
ContactMonkey Dashboard Sending allows ContactMonkey users to send email campaigns from directly within the ContactMonkey dashboard. In order to send email campaigns from the ContactMonkey dashboard, users will first need to integrate with ContactMonkey’s List Management functionality, and our Email at Scale solution. More information about both of these integrations can be found below.
What Is Email At Scale?
ContactMonkey allows internal communications teams to create and deliver email campaigns to existing email distribution lists. Typically, we use your existing email infrastructure for email delivery. Although this is a great option, there are limitations associated with this approach, particularly relating to emails sent with individual tracking:
- Each mailbox can only reach 10,000 email addresses per day.
- Each mailbox may only send 30 emails per minute.
- CSV uploads have a limit of 10,000.
ContactMonkey’s Email at Scale overrides these limitations by offloading email delivery from your mail infrastructure to a dedicated IP address. This allows you to send emails to larger groups, including CSVs, distribution lists, contact groups, security groups, universal groups, dynamic groups, and distribution lists with hidden membership.
Email delivery will be at least 10 times faster when using Email at Scale versus sending through your tenant with Graph API.
What Is List Management?
ContactMonkey allows internal communications teams to sync their contact directory from external sources (Azure Active Directory, Workday, CSV uploads, or other HRIS systems via an API connection), and include any customized attributes that they would like to use to segment this directory (e.g., title, department, location). They can then use these attributes to create new custom lists in ContactMonkey, and send emails based on their customized lists.
Customers have multiple options to add/update lists to ContactMonkey, some being automated options, and others being more manual processes.
Contacts synced to either our Email or SMS product will be visible in both views as both products have a shared contact directory.
How Do I Get Started?
In order to get started, we recommend deciding with your team what your “source of truth” will be for your contact directory. As mentioned above, this may be Azure Active Directory, Workday, another HRIS solution you use, or even supplementing with CSV uploads while you work to decide what your “source of truth” will be for your contact directory.
While that decision is being made, the most important technical facet of setting up ContactMonkey’s Dashboard sending is required to enable you to send email campaigns: Email at Scale. Please see below for steps to take on how to set this up, followed by steps on how to sync your contacts to ContactMonkey via Azure, Workday, another HRIS solution, or supplementing via a CSV upload.
Email At Scale Set Up
Step 1: Configuration
-
Domain Authentication - ContactMonkey’s support team will provide you with the DNS required to authenticate your domain. These must be added to your hosting or DNS provider.
- ContactMonkey’s support team will also provide you with your dedicated IP address.
-
Spam Filter - An exception must be made to the corporate spam filters for messages originating from your dedicated IP address to ensure deliverability.
- Microsoft Defender
- Proofpoint
- Mimecast
- If you use a different tool such as Proofpoint, please refer to their documentation directly
- [EXTERNAL] banners - If you are using a service to append Email Subject lines or Email Bodies with [EXTERNAL] banners, an exception should be made for the source IP address.
- Automatic Image Downloads - Images embedded in emails sent by your employees should be displayed automatically. This can typically be achieved by adding trusted sites.
- Safelist your tracking URL - Ensure Email Tracking Accuracy By Safelisting ContactMonkey
Step 2: Testing
Schedule a call with our support team to complete a test of the configuration. A ContactMonkey end user will be required to be available to send the test emails.
Assuming there are no additional configurations required, Email at Scale will be enabled for your account.
Syncing Your Contact Directory
