Personalize a Mail Merge

ContactMonkey’s add-in enable users to personalize email blasts to thousands of recipients, both in the subject line and the body, and here is how to do so:

Outlook Office 365/OWA
  1. Insert your Distribution List or CSV into your Mail Merge email. (Ensure your CSV has a First Name column)
  2. Set your tracking type to Individual and scroll to the Merge Fields section of the sidebar.
  3. Click the dropdown and select the corresponding Merge Field you would like to use; in most cases this would be FirstName.
  4. By clicking FirstName, the code will copy to your clipboard ready to paste into the subject line of your campaign – e.g. ‘Hi {{firstname}}, Your August 2020 Newsletter’
  5. To personalize the template of your campaign, simply insert any text box and select Merge Tags from the options box that appears, then follow the same process.
  6. Once your email is ready to send, click Preview Contacts to ensure each recipient will receive a corresponding First Name on their email, as seen below.

Note: Tracking Type must remain on Individual as you hit Send Merge for the personalization to work correctly.

Outlook Desktop - COM Add-in
  1. Open a Mail Merge tab and insert your Distribution List or Upload CSV. Ensure ‘Track Aggregate’ is deselected.
  2. Expand the Merge Fields by clicking the 3 dots halfway down the email body on the left.mceclip2.png
  3. From here, drag and drop the merge field you would like to use into the subject line. E.g. First Name would look like {{FirstName}} when dropped into the subject.
  4. To personalize the template of your campaign, open the template in the builder and insert any text box. You can select Merge Tags from the options box that appears, then follow the same process.
  5. Once your email is ready to send, click Preview to ensure each recipient will receive a corresponding First Name on their email, as seen below.mceclip3.png
Gmail
  1. Open a new message by clicking the Internal Comms button from the ContactMonkey menu. 
  2. Upload your CSV using the button on the top right of the window - ensure there is a max of 200 recipients on your CSV, as well as having a Column for FirstName within the file. 
  3. Hit the orange icon in the bottom right of your screen to access the merge fields - mceclip0.png
  4. This wil ldisplay an option for First Name, whcih you can copy and paste into your subject line: {{first_name}}.
  5. You should then preview to ensure the Merge Field matches up correctly for each recipient, here is an example of what a Preview looks like:mceclip0.png

Note: your ContactMonkey preferences must have 'Track Agg' deselected for the personalization merge to work correctly.
