Emails Sent With Overall Tracking
What Is It?
When an email is sent with Overall tracking enabled, we send one email to your recipient list (such as everyone@contactmonkey.com).
What We Store:
- Email address of the recipient list
- The name of the list (“everyone”) ‘
- From’ address
- Subject line
How It Works:
- When sending rich text emails, the draft body of the email is stored until the campaign is sent by our cloud servers. Once the campaign is sent, the body is deleted from our database.
- Emails created using the email builder are stored as HTML in our email library. This allows users to replicate, re-use, and/or edit for future emails.
- When a recipient opens the email, we are calculating their location based on their IP address. We store both of these and the type of device they used (Mobile, desktop, browser) for each open event. When they click on a link, we store the same information along with the specific link they clicked.
- Data is all tied to one tracker for the entire campaign so opens are completely anonymous.
Emails Sent With Individual Tracking
What Is It?
When an email is sent with Individual tracking enabled, one email is sent to each recipient on your list. In this scenario, we expand your list to obtain each individual recipient and their contact fields.
What We Store:
- Email address of the recipient list
- The name of the list (“Everyone”)
- ‘From’ address
- Subject line Individual recipient email addresses
How It Works:
The recipient list is stored in our database and referenced when the campaign is scheduled to be sent.
When sending rich text emails, the draft body of the email is also stored until the campaign has been sent by our cloud servers. Once the campaign has been sent, the body is deleted from our database.
Emails created using the email builder is stored as HTML in our email library. This allows users to replicate, re-use, and edit for future emails.
When the recipient opens the email, the same data is stored as the overall basis. However, each recipient has a unique tracker to connect the data to the individual.
Emails Sent With Anonymous Individual Tracking
What Is It?
When an email is sent with Anonymous Individual tracking enabled, one email is sent to each recipient on your list. In this scenario, we expand your list to obtain each individual recipient and their contact fields.
Once the email has successfully been sent, the recipient's email addresses are anonymized at the database level.
What We Store:
- Email address of the recipient list
- The name of the list (“Everyone”)
- ‘From’ address Subject line
How It Works:
The recipient list is stored in our database to be used when the campaign is being sent so that we can substitute any merge fields if used.
When sending rich text emails, the draft body of the email is also stored until the campaign has been sent by our cloud servers. Once the campaign has been sent, the body is deleted from our database.

Optional Features
HTML Email Builder
Responsive HTML templates are created and exported for use during campaign sending. They save as JSON and HTML in the ContactMonkey database for later access and editing. If a user deletes a template, it is completely erased from our database.
List Management
Users may opt to use our List Management feature as part of our Enterprise offering. List Management allows users to sync their directory to ContactMonkey via CSV upload or integration:
· Azure sync
· Workday sync
· Sync via API
In this scenario, ContactMonkey stores all synced contact details. Email address is the only mandatory field, but users can sync extra attributes to segment the directory. (department, title, office, location, division, etc). ContactMonkey will store any attributes synced to our system. The ContactMonkey user has control of those synced attributes.
