Copying URLs directly from your browser creates long links that may break or expose sensitive information when you paste them into ContactMonkey emails. Generate short, secure links in Microsoft 365 or SharePoint instead by following the steps below.
Generate a Shareable Link
From within a document:
- Open your document in Microsoft 365 or SharePoint
- Click Share
- Click Copy link
- The link will automatically be copied to your device's clipboard
- Click Settings to configure your share permissions
- Click Apply
- Paste the link into your ContactMonkey email

From file management view:
- Navigate to your file in Microsoft 365 or SharePoint
- Hover over the file name
- Click the Share icon
- Click the gear icon to configure your sharing permissions
- Click Apply
- Click Copy link
- Paste the link into your ContactMonkey email

From Microsoft Teams:
- Find your file in a Teams channel
- Click the three dots (...) next to the file name
- Select Copy link
- The link will automatically be copied to your device's clipboard
- Click Settings to configure your share permissions
- Click Apply
- Paste the link into your ContactMonkey email

Why Use the Share Button
Browser URLs from Microsoft 365 and SharePoint contain authentication data and session information, which creates two problems:
- Long URLs - Browser links can exceed character limits and break in emails or mail merges
- Security issues - URLs may include your login email and other metadata you don't intend to share
Links generated through the Share button are shortened and contain only the necessary information to access the file.
Mail Merge Errors in Outlook Non-365
If you're using the Non-365 Add-in and experiencing mail merge errors, check your SharePoint links for special characters:
- Apostrophes (
') and commas (,) in URLs cause merge failures - Solution: Shorten your SharePoint URLs using Microsoft's Share button or rename files to remove special characters
