Requirements
Before you can count recipients from a Microsoft distribution list, your IT administrator must set up distribution list expansion. This is a one-time, organization-wide setup, and it allows ContactMonkey to retrieve individual recipient analytics.
CSV files and List Management contact lists do not rely on list expansion.
Count Recipients in the Add-in
- In Outlook, create a new message and open the ContactMonkey Add-in
- Add recipients/lists to the To field, upload a CSV file, or select a List Management contact list
- Enter a subject line
- Click Count Recipients

ContactMonkey displays the total number of recipients who will receive your email. Click the Download link to save a CSV version to your device.
Count Recipients in Dashboard Settings (Admin Only)
Users with Administrator permissions in ContactMonkey can run a test count of Outlook distribution lists by following these steps.
Troubleshoot Inaccurate Counts
If your recipient count seems incorrect when using a distribution list, your expansion method may need adjustment.
Common causes:
- Distribution list is hosted on-premise (limited API support)
- Utility account hasn't been configured
- Wrong expansion method selected for your list type
If your count returns 1:
A result of 1 usually means the selected expansion method doesn't support the list you're sending to. Switch methods:
- Click the gear icon above Send & Track
- Locate the Default expansion method section
- Switch your selection
- Click the Home button to return to the previous page
- Click Count Recipients to test again
