Organizations that have Email at Scale enabled can suppress auto-replies for emails sent from their dedicated IP address in Office 365.
You can create a mail flow (transport) rule in the Exchange admin center by following these steps:
1. Access the Exchange Admin Center
- Go to the Microsoft 365 Admin Center.
- Navigate to Exchange under Admin Centers.
2. Go to Mail Flow
- In the left-hand menu, select Mail Flow.
- Click on the Rules tab.
3. Create a New Rule
- Click on + Add a rule or New Rule.
4. Configure the Rule
- Name the rule (e.g., "Suppress Auto Replies for Specific IP").
- Apply this rule if: Select The sender's IP address is in the range and specify the dedicated IP address that was provided to you during your Email at Scale implementation, or reach out to support@contactmonkey.com to verify.
- Select Set the message header and set the following values:
- Header name:
X-Auto-Response-Suppress
- Value:
OOF, DR, RN, NRN
- This suppresses Out of Office (OOF), Delivery Receipts (DR), Read Notifications (RN), and Non-Read Notifications (NRN).

5. Additional Settings
- Stop processing more rules: Check this option to ensure this rule takes precedence.
- Set exceptions if needed.
6. Save the Rule
- Click Save to activate the rule.
7. Test the Rule
- Send an email using Email at Scale and confirm that auto-replies are not generated. All emails sent with Individual or Anonymous tracking with Email at Scale enabled will come from your dedicated IP address. Please use the Send & Track button and not Send Test.
- With Microsoft Exchange and Outlook, you'll only receive an Out of Office (OOO) reply from the same recipient once per day. This is a default behavior designed to prevent the recipient's inbox from being flooded with multiple OOO replies from the same sender during their out-of-office period. During testing, if you would like to test more than once per day, update your OOO content between tests.
Notes
- The X-Auto-Response-Suppress header is a standard way to control auto-replies in Exchange Online.
- Ensure that the IP address or range specified in the rule is accurate.
- This method does not affect other functionalities of the sender's emails.
- This transport rule will only be applied for emails sent using Email at Scale. Emails sent using "Overall" tracking are not considered.
