Timezone Sending delivers your emails to recipients based on their local time, ensuring everyone receives your message at the optimal moment regardless of location.
Before You Start
Requirements:
- List Management feature enabled
- Timezone data added to your ContactMonkey Directory (learn how here)
- Anonymous or Individual tracking (Overall tracking is not compatible)
Enable Timezone Sending (Owner/Admin Only)
Admins and Owners must enable this feature before it can be used:
- Click your name at the top right of the dashboard
- Click Email Settings
- Toggle Timezone Sending on
Important: The time you select becomes the anchor time for the first timezone to receive your email. Recipients in each subsequent timezone will receive the email at that same local time.
All scheduled sends are based on the timezone set in your ContactMonkey profile settings. EST is set as the default timezone -- if you reside or send from a different timezone, please ensure that this is updated by clicking your name at the top right → Settings.
Scheduling an Email
Outlook 365
- Finalize your email in the Email Builder
- Open Outlook and create a new message
- Open the ContactMonkey Add-in and insert your email
- Ensure you have Individual or Anonymous tracking selected
- Select your desired contact list(s)
- Click the clock icon beside Send & Track
- Click the calendar icon to select your desired date and time for deliverySelect your desired date and time for delivery
- Toggle on Send in your recipients' timezones
- Click Schedule

Outlook Dashboard Sending
- Finalize your email in the Email Builder
- Click Emails at the top of your dashboard
- Click Compose & Send
- Select your sender
- Select your desired contact list(s)
- Select Schedule for later and toggle on Send in your recipients' timezones
- Enter your subject line and preheader text
- Insert your email
- Click Schedule for later
Note: Timezone Sending is not available for Gmail users.
Understanding Email Status
When you schedule an email with Timezone Sending, the status behaves differently than standard sends:
"In Progress" Status:
- Appears as soon as delivery begins to the first timezone
- Continues until all recipients across all timezones have received the email
- Only applies to campaigns using Timezone Sending
"Sent" Status:
- Appears once delivery is complete for all recipients globally
Important Limitations
⚠️ Emails cannot be edited once the "In-progress" status begins
⚠️ Emails cannot be rescheduled retroactively - you must delete the scheduled send and recreate it to make changes
⚠️ Cancellation has a limited window once sending begins (see below)
Can I Cancel a Timezone Send in Progress?
Yes — but only for recipients who haven't been processed yet. Because emails go out in batches by timezone, cancellation stops future batches rather than recalling emails already in flight.
How cancellation behaves:
- Before sending begins: Cancel anytime from the Scheduled tab. No recipients will receive the email.
- While a timezone batch is actively sending: Cancellation is detected quickly, but emails already handed off to the current batch will still be delivered. All subsequent timezone batches are stopped.
- Between timezone batches (waiting for the next timezone to begin): Cancellation is queued and applied before the next batch sends, preventing delivery to any remaining timezones.
- Click Emails at the top of your dashboard
- Click In Progress
- Click the vertical three-dot menu next to your desired email
- Select Cancel Send
What Happens if Timezone Data is Missing?
If a recipient's timezone cannot be determined, they will receive the email at the scheduled time in your timezone (the sender's timezone).
