When sending campaigns with ContactMonkey using Individual or Anonymous tracking, you can prevent copies of each sent email from appearing in your personal Outlook sent folder. This feature helps keep your sent folder organized when sending emails to multiple recipients.
Prerequisites
Before using this feature, ensure:
- You are using Individual or Anonymous tracking
- You are not using Email at Scale
- You are using the Outlook Add-in
- You have access to ContactMonkey settings
Note: If Email at Scale is enabled for your account, this toggle will not appear in your settings.
How to Enable Bypass Personal Sent Folder
Follow these steps to prevent sent emails from appearing in your personal sent folder:
- Open ContactMonkey Settings in your email client
- Navigate to Email Settings
- Locate the Bypass Personal Sent Folder toggle
- Turn the toggle On
- Your preference will be saved automatically
Note: This is an individual user setting. Each user must enable this toggle separately if they want to use this feature.
What Happens When This Setting is Enabled
Once you enable the Bypass Personal Sent Folder setting:
- Individual copies of campaign emails will no longer appear in your personal Outlook sent folder
- You can still view sent campaign details and analytics in your ContactMonkey dashboard
- Email records remain accessible through ContactMonkey's tracking and reporting features
Your recipients will still receive their emails normally. This setting only changes where copies are stored for your records.
Limitations
You will not see the Bypass Personal Sent Folder toggle if:
- Email at Scale is enabled: Users who send with Email at Scale (EAS) do not experience sent folder flooding, so this toggle is hidden when EAS is active in your account.
- You're using Overall tracking: This feature is only available for Individual and Anonymous tracking methods. If you primarily use Overall tracking, you won't need this setting.
- You're using Gmail: This feature is currently unavailable for Gmail users and is only supported in Outlook environments.
Troubleshooting
Q: I don't see the Bypass Personal Sent Folder toggle in my Email Settings.
A: Verify that you meet all prerequisites. The most common reason for not seeing this toggle is having Email at Scale enabled. Check with your ContactMonkey administrator to confirm your sending method. Also ensure you're using Outlook, as this feature is not available for Gmail.
Q: I enabled the toggle but I'm still seeing copies in my sent folder.
