The Templates section is your central library for all saved email designs. Think of templates as master copies or blueprints that you can use to quickly create new emails without starting from scratch.
This article will guide you through how to find, manage, and use your templates.
Understanding the Difference: Template vs. Email
It's important to understand the distinction between editing a template and creating an email from a template.
- A Template is a reusable master design. Editing a template updates the blueprint for all future emails you create from it.
- An Email is a single, specific campaign you build and send. It starts as a copy of a template, but any changes you make to the email will not affect the original template.
Accessing Templates
- Select Emails tab at the top of your dashboard
- Click Templates to view the template library
By default, Templates from all users will show (Created by anyone) within the Templates tab. You can filter the templates by selecting the following options:
- Created by anyone
- Created by me
- Not created by me
How to Convert an Email into a Template
Any email draft can be turned into a template in one of two ways:
From the Email Library
- Click Emails at the top of your dashboard
- Locate the email you wish to use as a template
- Click the Actions dropdown menu to its right
- Select Save as Template - a copy of the email will be transferred to the Templates section:
From the Email Builder
- Click the down arrow beside Save and Exit
- Select Save as a template - a copy of the email will be transferred to the Templates section:
Managing Your Templates
For each template in your library, you can hover over it to see an Actions dropdown menu with the following options:
- Create New Email: This creates a new, separate email using the template as a starting point and is stored in your email library. This is the most common action you will take.
-
Edit Settings: This allows you to modify the template's name, add/remove tags, and toggle on/off the Dynamic Content and/or Multi-Language features.
- Important: Changes made here will apply to all future emails created from this template. They will not change any emails you have already sent or drafted.
-
Edit Design: This opens the template in the Email Builder, allowing you to modify the master design itself
- Important: Changes made here will apply to all future emails created from this template. They will not change any emails you have already sent or drafted.
- Duplicate: This creates an exact copy of the design and is stored in Templates.
- Share: This allows you to send a copy of the template to another teammate.
-
Delete: This permanently removes the template from your library.
- ⚠️ Warning: Deleting a template cannot be undone.
Best Practices
Understanding how templates work is key to using them effectively.
- Ownership: Templates can be edited or deleted by their original creator or Admins on the account.
- My Templates: When creating a new email, the My Templates section will display templates that you have personally created or converted.
- Team Templates: Users can find all saved Templates within the organization by selecting the Team Templates option.
