The ContactMonkey 365 Add-in appears on the right side of your Outlook message, giving you access to email templates, tracking options, and personalization tools directly from your inbox. Use this guide to understand each button and feature in the Add-in interface.

Prerequisites
You must have the ContactMonkey 365 Add-in installed in Outlook 365. If you need installation help, click here or contact your IT team.
Sending Your Email
Send & Track
Click Send & Track when you're ready to send your email with ContactMonkey tracking enabled.
Important: Always use the Send & Track button instead of Outlook's native send button. Using the latter bypasses ContactMonkey tracking and can cause formatting issues in your email.
Send Later
Click the clock icon next to Send & Track to schedule your email for a specific date and time. Your email stays in your Outlook drafts folder until ContactMonkey begins sending it at the scheduled time.
Send Test
Click Send Test to preview your email before sending to your full audience. The test goes to your own email address or to contacts listed in the To field. If you've uploaded a CSV file, the test includes sample data from your recipient list.
Tracking Options
ContactMonkey offers three tracking methods. Choose the option that matches your privacy requirements and reporting needs.
Overall Tracking
Use this option to see combined analytics for your entire send. Your dashboard shows one recipient count because ContactMonkey tracks the distribution list as a single entity. This is the fastest sending method.
Best for: Quick sends to distribution lists where individual recipient data isn't needed.
Anonymous Tracking
Use this option to track how many recipients opened and clicked without identifying specific individuals. This method is GDPR-compliant and sends more slowly because ContactMonkey inserts a unique tracking pixel into each email copy.
Best for: Organizations with strict privacy requirements that still need engagement metrics.
Individual Tracking
Use this option to see which specific recipients opened and clicked your email. This method sends more slowly because ContactMonkey inserts a unique tracking pixel into each email copy.
Best for: Targeted campaigns that may require follow-up with specific individuals based on their engagement.
Managing Recipients
Count Recipients
Click Count Recipients to see how many people will receive your email. If you're sending to a distribution list and the count seems incorrect, you may need to adjust your list expansion method.
You can also use this button to preview how merge fields will appear for each recipient.
Upload a CSV
Click Contact Lists → Upload CSV to add recipients from a spreadsheet instead of typing email addresses into the To field. Your CSV must include specific column headers to work properly.
Select a Contact List
If your organization has the List Management feature, click Contact Lists → Select Contact List to choose pre-built contact lists from your dashboard directory. Learn more here.
Personalizing Your Emails
Merge Fields
Click Merge Fields to insert personalized information (like names, job titles, or custom data) into your email. Merge fields only work when you select Individual tracking. Click here for complete instructions.
Finding Saved Campaigns
Email Search Panel
Use the search panel to find campaigns saved in your dashboard email library. Filter results by:
- Created by me - Shows only campaigns you created
- Created by anyone - Shows all campaigns in your organization
- Not created by me - Shows campaigns created by your teammates
Insert Email
Click the arrow next to any campaign in the search panel to insert it into your current Outlook message. ContactMonkey automatically loads the template content, formatting, and any saved settings.
