Turn a group of recipient email addresses from an Outlook email into a single-column CSV file you can upload to ContactMonkey. Use this when your recipients already sit in an Outlook To field, but you do not have an exported contact list. The finished CSV works for the Web App, the Web Add-in, and the directory.
Prerequisites
- Access to Microsoft Excel or Google Sheets
- An Outlook email whose To field contains the addresses you want to collect.
- The recipients displayed as full email addresses (
name@domain.com), not display names. If you see display names, hover or expand the field until the addresses appear.
Copying Email Addresses from Outlook into Excel/Google Sheets?
Copy the addresses from the To field and paste them into a single Excel cell.
- Open the Outlook email that contains your recipients
- Click into the To field and select all addresses, then press
Ctrl+Cto copy - Open a blank Excel/Google Sheets workbook
- Click cell A1 and press
Ctrl+Vto paste. All addresses land in one cell, separated by semicolons.
Outlook separates addresses with a semicolon (;). You will use that semicolon to split the addresses in the next step.
Splitting Addresses into Separate Cells
Use the Text to Columns feature to split the single cell on the semicolon.
- Select the cell that holds your pasted addresses
- On the top ribbon, click the Data tab
- Click Text to Columns
- Choose Delimited, then click Next
- Under Delimiters, check Semicolon (uncheck the others), then click Next
- Click Finish
This splits the addresses across a single row of columns (A, B, C, and so on).
Moving Addresses to One Column
ContactMonkey reads recipients down a single column, so transpose the row into a column.
- Select the row of cells that now contain your addresses
- Press
Ctrl+Cto copy them - Right-click an empty cell a few rows below
- Under Paste Options, choose Transpose (the clipboard icon with rotating arrows). Alternatively, open Paste Special and check Transpose, then click OK
Your addresses now run down a single column, one address per row.
Finalizing the File
Add the required header and save the file as CSV. ContactMonkey requires the first column to be titled Email.
- Right-click row 1 of your single column and choose Insert to add a blank row at the top
- In cell A1, type
Emailexactly, with no spaces before or after - Confirm one email address per row beneath the header, with no blank cells and no duplicates
- Click File → Save As
- Choose the file type CSV UTF-8 (Comma delimited) (*.csv) and save
Cell A1 must contain only the word 'Email'. A missing or misspelled header is the most common reason a ContactMonkey upload fails. See CSV File Formatting Requirements for the full rules.
How is the CSV used in ContactMonkey?
Upload the finished CSV wherever ContactMonkey asks for a recipient list:
- Web App — upload the CSV when selecting recipients for a campaign.
- List Management — import the CSV to create a reusable contact list you can filter and reuse.
- Web Add-in — upload the CSV directly in the Add-in.
A single CSV holds up to 10,000 recipients. To add personalization, include extra single-word columns (for example, FirstName), which require Individual or Anonymous tracking.
Troubleshooting
Problem: The upload was rejected.
Solution: Confirm cell A1 is exactly Email with no surrounding spaces, and the file is saved as CSV UTF-8.
Problem: Addresses stayed in one cell.
Solution: Re-run Text to Columns and confirm Semicolon is the checked delimiter.
Problem: The To field is showing display names instead of email addresses
Solution: Expand the To field in Outlook so full addresses show before copying.
Problem: Duplicate or blank rows.
Solution: Remove duplicates and empty cells; ContactMonkey rejects duplicates and blank email cells.
