Share sent email campaigns to Microsoft Teams channels as adaptive cards. Recipients can click the call-to-action button to view your campaign as a custom HTML page, and ContactMonkey tracks all engagement.
Important: Links sent to Teams channels expire after 30 days.
Before You Begin
Requirements:
- Microsoft Teams integration must be configured
- The email campaign must already be sent
- Only emails sent after the Teams integration was enabled can be shared
Permissions:
- Basic users can send their own emails to Teams
- Admins and Managers can send any email to Teams
Sending a Campaign
For Dashboard Users
- Click Emails at the top of your dashboard
- Click Sent
- Click the three-dot menu next to the email you want to share
- Click Share To Microsoft Teams
- Complete the required fields:
- Select the channel(s) you wish the campaign to appear in
- Title (191 character limit) - Pre-filled with your email subject line. Remove any merge fields, as they won't work in Teams.
- Description (no character limit) - Add context or key takeaways
- Button Text (50 character limit) - The call-to-action text
- Password Protection (optional) - Toggle on to require a password to view the campaign. A randomly generated password will be shared in the Teams message.
- Click Share to Teams

For Outlook 365 Users
- In Outlook, compose your email as usual
- Toggle on Share to Teams in the Add-in
- Click Send & Track
- ContactMonkey opens in your browser on the Share to Microsoft Teams page
- The Title field is pre-populated with your email subject
- Select your channel(s) and complete the remaining fields
- Click Share to Teams

Title Tips
- Keep titles to 6 words or about 41 characters
- Use a consistent format for recognizability and searchability:
- Example: "Weekly Newsletter #32: Office closures, promotions to celebrate 🎉"
- Use emojis sparingly and only when relevant
Description Tips
- Keep text to 40 characters wide or fewer and 3 lines or fewer for easy scanning
- Put the most important point at the beginning
- Put the second most important point at the end (people scan beginning and end most)
Button Text Tips
- Use action-oriented words like "learn," "improve," "discover," "win"
- Keep buttons to 1-2 words
- Make them specific and recognizable

View Teams performance data in your campaign reports:
Available metrics:
- Which Teams channel(s) the campaign was sent to
- Total opens in Teams (across all channels)
- Number of unique opens in Teams (across all channels)
Where to find it:
- As columns and filters in Reports
- In the sent email export
- Integrated with overall email performance data

Frequently Asked Questions
Why can't I see "Share To Microsoft Teams" for a sent email?
The email was sent before Teams was enabled for your ContactMonkey account. Only emails sent after integration was enabled can be shared to Teams.
Can I edit a campaign after sharing it to Teams?
No, you cannot edit the adaptive card once it's posted. You would need to send an updated version as a new message.
What happens if I don't fill out all the required fields?
All fields (Title, Description, Button Text) are required. You won't be able to share to Teams until all fields are completed.
